Office Assistant

This position is for an experienced office assistant able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This position is located at St. Croix Renaissance.


  • Report to and provides assistance to the Site Manger.
  • Understand and consistently observes Company policies and procedures with special emphasis on secretarial work and procedures.
  • Assist Site Manager with supervisory duties of security personnel.
  • Provide office support to the Human Resources and Accounting departments when needed.
  • Coordinate weekly processing of employee payroll by collecting all hours for timesheet.
  • Provide general administrative support to include:
    • Filing, word-processing, preparing or generating reports, purchasing activities, credit card activity log, replenishment of petty cash, print checks, etc.
  • Run errands to Post Office, Banking, IRS, EDC, etc.
  • Responsible for the renewal of annual vehicle registrations and insurance, environmental permits, annual business and engineer licenses, annual fire inspection and annual HAZWOPER.
  • Work closely with supervisors and other facility personnel on a regular basis.
  • Accountable for providing adequate security and emergency response tasks.
  • Respond to incoming phone messages and inquiries.
  • Maintain housekeeping for security office and guardhouse.
  • Direct access control of employees, visitors, contractors and vendors.
  • Ensure that established safety procedures are adhered to throughout site.
  • Monitor St. Croix Renaissance Group security camera systems.
  • Assist in investigation of theft, accidents, incidents and complaints.
  • Notification to 911 of emergency situations when needed.
  • Abide by all St. Croix Renaissance Group, LLLP safety policies and procedures.
  • Update all logs pertaining to security.
  • Provide orientation to contract security officers and contractors.
  • Perform other related duties as required and assigned.


  • A high school diploma or equivalent is required.
  • Minimum of three (3) years experience in an office, administrative, secretarial or supervisory role, preferred.
  • Ability to communicate with others using diplomacy and tact to diffuse high-tension situations effectively.
  • Proficiency in Microsoft Office suite.
  • Superb customer service skills.
  • Superior oral and written communication skills.
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational skills.
  • MUST be able to work in an ever-changing environment and be amenable to change.
  • TWIC card is required.
  • Adhere to company rules and work practices.

SUPERVISORY RESPONSIBLITIES: This position has no direct supervisory responsibilities.


WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


PHYSICAL DEMANDS: This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Must be able to work long hours that may require up to twelve hours a day, weekends and holidays when needed.


Hourly Rate: $12.00 DOE
